Staff Accountant

Prepare and process accurate accounting transactions to include excise tax returns, fixed asset depreciation and amortization, bank reconciliations, recurring journal entries, general ledger reconciliations, and quarterly B&O tax returns. Code and reconcile credit card statements and prepare monthly equipment billing and shop reports. A successful Staff Accountant will combine excellent analytical skills with a thorough knowledge of accounting principles to analyze financial reports and forecasts, ensuring accuracy and effectiveness in all tasks completed.

Core Responsibilities:

  • General ledger account reconciliations for multiple entities to include prepaid expenses, notes receivable, notes payable, and other balance sheet accounts
  • Fixed assets additions, deletions, depreciation and reconciliation
  • Bank reconciliations for multiple entities
  • Process monthly depreciation, licensing and O/H allocations
  • Record Job cost accruals and reversals
  • Set up fixed assets files for equipment and vehicles
  • Assist with month-end close process for multiple companies including recurring journal entries, update of supporting schedules, and various reconciliations
  • Assist with financial statement preparation
  • Prepare monthly equipment billing and shop reports
  • Washington State Excise Tax reporting for multiple companies
  • City B & O tax returns, liability accruals, and various reporting
  • Annual personal property tax returns and affidavits
  • Code and reconcile company credit card statements
  • Back up Payroll responsibilities and duties as needed
  • Assist with year-end annual audit requirements and review to include preparing reports and schedules as needed
  • Miscellaneous other duties as assigned

  • Accounting degree with a minimum of four years accounting experience in the construction industry in an equivalent position
  • MS Office Suite knowledge (Excel, Word, Outlook)
  • Experience working in a multi-company environment with intercompany and related party transaction knowledge preferred
  • Job Costing experience preferred
  • Spectrum/Viewpoint software experience preferred
  • Payroll experience required with Union Payroll experience preferred
  • Demonstrates attention to detail, accuracy, thoroughness, and quality control
  • Knowledge of sales and use tax regulations
  • Strong written and verbal communication skills
  • Excellent organizational, analytical, and problem-solving skills

Project Manager

JR Hayes Corporation is seeking a Project Manager who will be responsible for the management of multiple projects. The number of projects will vary depending on the size and complexity of the projects. The Project Manager is responsible for the proper administration and execution of each individual project in conformance with the Owner Contract Agreement, plans, specifications, estimate, geotech reports, jurisdictional government requirements, and all the other related contract documents and attachments for successful delivery of their projects from the contract negotiation through to final project completion and acceptance. The Project Manager is responsible for all facets of the project in compliance with company policies and procedures including managing the project finances, contract/change order negotiation, subcontractor management, planning and coordination of the work, and oversight of the project safety program. The Project Manager will establish and maintain a positive working relationship with the client, including the owner, owner’s representative, general contractor, subcontractors and suppliers, project managers, superintendents and other personnel. JR Hayes Corporation is a Civil and Site Development General Contractor in Maple Valley. Our work includes a diverse range of project types throughout the Pacific Northwest including Residential Subdivisions and Master plan developments, Retail, Commercial/Industrial, Office, and Deep Hole Excavation.

Core Responsibilities:

  • Prepare and maintain accurate project cost analysis and projections using established accounting (Spectrum) phase coding as it relates to the original contract estimate
  • Timely correspondence required with owner, architect, engineer, subcontractors and suppliers for the proper documentation of the project
  • Prepare monthly budget updates, contract status, and progress billings for submittal to the client
  • Prepare cost estimates and timely change request proposals (CRP’s) for additional work as requested by the client or for changed conditions from the contract specifications for submittal and approval
  • Responsible for the direction and supervision of the Superintendent, Project Engineer or Project Administrator as required for project
  • Coordinate and attend all meetings, including weekly project meetings with the owner and all subcontractors as required
  • Prepare project meeting agenda and minutes for weekly meeting for distribution and review by the owner, JR Hayes personnel and subcontractors
  • Establish and maintain the overall project schedule that is updated weekly with any changes and provide to the owner, JR Hayes personnel, all subcontractors and suppliers
  • In conjunction with the Superintendent, establish and maintain a 3 week look-ahead schedule for each project
  • Monitor the project schedule to track and report any delays to the project immediately to the owner, Sr. Project Manager, Vice President of Operations and the President
  • Responsible for a timely and thorough buy-out of all subcontractor work required for the project to include the following:
    • Review and evaluate subcontractor and supplier quotes for scope and accuracy
    • Interview all subcontract bidders prior to making award and negotiate/remove all exclusions from their bid quotes
    • Identify and resolve all contractual gray areas and scope deficiencies
    • Negotiate with subcontractors to provide the best value at the lowest cost
  • Prepare subcontract agreements for approval and signature
  • Approve and monitor invoices and payments from and to subcontractors and suppliers
  • Review Heavy Job timecards from the field daily for your jobs
  • Report information from accounting and Superintendents on the status of a project as accurately as possible with emphasis on schedule, production and cost variances in regards to the final costs to complete the project
  • Ensure that all administrative documentation is completed timely and accurately
  • Responsible for the timely completion of all work and project closeout including all punch lists, warranty, accurate as-built drawings, administrative documentation and filing as required for each project
  • Optimize the profitability of the company through ethical management practices, decision making, reliable, accurate and mature judgment
  • Always display attributes that enhance the image of JR Hayes Corporation with clients, owners, and subcontractors

Required experience/skills/qualifications:

  • Minimum of 10 years’ construction project management or estimating experience
  • Minimum of 5 years civil and site development related construction experience
  • Bachelor’s degree in Civil Engineering or Construction Management preferred
  • Proficiency in Microsoft Office and Excel software
  • Experience and proficiency in CPM scheduling software (Microsoft Project, Primavera or equivalent)
  • Experience and proficiency in construction accounting software, preferably Spectrum
  • Strong written and oral communication skills

Estimator

The Estimator shall be experienced in all project types and can produce complete and accurate conceptual and hard bid estimates for site development, utilities and associated work in accordance with the bid documents, plans, specifications and company procedures. This effort must be coordinated with all JR Hayes Corp. employees to ensure company goals and objectives are met through individual and team effort.

Core Responsibilities:

  • Review and understand all project related documents, bid requests, drawings, specifications and other related bid documents
  • Capable of managing multiple estimates depending on size and complexity
  • Interface with the client with regard to the bid requirements, scope of work, questions and other information required
  • Qualify all subcontractor quotes for pricing, scope and accuracy per the bid documents
  • Prepare a preliminary cost estimate, with back up, for review prior to submittal to the client
  • Prepare final cost estimate and required bid documents for submittal to the client

Required experience/skills/qualifications:

  • Minimum of 5 years construction estimating, project management or related experience, preferably civil related construction
  • Bachelor’s degree in Construction Management or Civil Engineering preferred
  • Accuracy, attention to detail and the ability to multi-task, while maintaining proper priorities, is essential
  • Proficient in use of Microsoft Office Suite (primarily Word, Excel and Project)
  • HCSS/Heavy Bid software experience preferred
  • CAD and Agtek, or related, software experience a plus
  • Strong written and verbal communication skills

Performance requirements/expectations:

  • Develop and maintain client, and subcontractor, relationships for both current and future project estimates
  • Break down and distribute documents, as necessary, for subcontractor quotes
  • Develop specific subcontractor bid scopes and answer questions regarding project requirements
  • Complete both manual and computer aided quantity/unit take offs
  • Review bid documents for value engineering and cost savings ideas
  • Ongoing follow up with the client to determine actual bid results

Estimating Project Engineer

The Estimating Project Engineer shall be a detail-oriented, well organized, excellent multi-tasker with a ‘team player’ attitude to work with our Estimating Department in solicitation of subcontractor bids, distribution of plans to qualified bidders, follow up of bids with vendors, and plan takeoffs. The desired individual must be a self-starter, understand tight deadlines and must have good phone and people skills.

Requirements:

PROJECT ADMINISTRATOR

REPORTS TO: Contracts/Project Administrator Manager
JR Hayes Corporation is a Civil and Site Development General Contractor in Maple Valley. RESPONSIBILITIES:

  • Process project daily field costs sheets.
  • Tally daily truck and materials costs per job and verify ticket/packing slips
  • Tally daily truck and materials costs per job and verify ticket/packing slips
  • Submit approved invoices to Accounts Payable for processing
  • Prepare job cost accruals at month end for pending invoices
  • Responsible for preparing monthly project billing to customer
  • Responsible for preparing and tracking change requests, time and material billing and customer change orders
  • Responsible for investigating and resolving customer billing disputes
  • Prepare Subcontractor contracts
  • Responsible for monitoring subcontractors compliance with contractual responsibilities
  • Obtain, submit, and track Insurance Certificates and Notices of Right to Lien
  • Responsible for tracking all subcontractor change requests and change orders
  • Responsible for processing subcontractor billing
  • Responsible for investigating and resolving subcontractor billing disputes
  • Support Estimators, Project Managers and Accounting staff with various documentation research, assembly, and submission

QUALIFICATIONS::

  • Two years of accounting experience and three years of construction contract administration experience
  • Knowledge of construction industry business practices and construction contracts
  • Experience in Microsoft Windows operating environment, including Word, Excel, Spectrum project management and accounting systems
  • Must multi-task well, and have a great attention to detail
  • Excellent analytical skills & detail oriented

  • Sound organizational skills
  • Excellent written and verbal communication skills
  • Light travel may be required
